Quick Setup

Setting up the connection between MailChimp and Join It is easy and only needs to be done once. During setup, you'll be asked whether you want all of your 'active' members from Join It to be automatically synced, or just members from specific membership types. You'll also be able to choose which MailChimp List you want these members to be added to.

Data Syncs

When a member joins your organization, they will immediately be added to the respective list within MailChimp. No further actions from admins are required.

Easy To Track

After a member is added to a list, we'll add this action to the timeline on your dashboard and we'll make a note of it within the specific member record. This way, you can always be confident that your member data is being added to the right place.

Frequently Asked Questions about syncing memberships to MailChimp

What does the Join It and Mailchimp integration do?

The Join It and Mailchimp integration keeps your membership database connected to your email marketing audience, so new and updated member data can flow from Join It into Mailchimp without manual exports.

Expand Answer

Mailchimp is where many organizations manage newsletters, campaigns, and member communications, while Join It remains the source of truth for membership records. The integration helps keep those systems aligned by sending member information from Join It to the Mailchimp audience you choose. This reduces manual list updates, keeps email audiences cleaner, and helps your team communicate with the right members based on current membership data.

How do I connect Mailchimp to Join It?

You can connect Mailchimp from the Automations section of your Join It dashboard, then choose which members should sync and which Mailchimp Audience they should be added to.

Expand Answer

During setup, you connect your Mailchimp account, choose whether to sync all active members or only selected membership types, and select the Mailchimp Audience where those members should go. Once configured, Join It handles the ongoing sync so your team does not have to export member lists or manually upload contacts into Mailchimp.

Can Join It automatically add new members to Mailchimp?

Yes. Once the integration is configured, Join It can automatically add new members to the selected Mailchimp Audience when they join your organization.

Expand Answer

Instead of exporting new members from Join It and uploading them into Mailchimp by hand, the integration pushes new member data into Mailchimp automatically. Each addition is also noted on the member's timeline in Join It, so admins can confirm exactly when someone was added to which audience. This is useful for onboarding emails, welcome campaigns, newsletters, event announcements, and renewal communications — new members are included in the right communications soon after joining, without extra admin work.

Can I choose which members sync to Mailchimp?

Yes. You can choose whether to sync all active members or only members from specific membership types to a particular Mailchimp Audience.

Expand Answer

Different membership types often need different communication flows. For example, you may want all active members in one audience, or you may want to sync only premium members, students, volunteers, sponsors, donors, or another membership group. And because you can run more than one sync configuration, different membership types can flow to different Mailchimp audiences — premium members to one list, event volunteers to another — each maintained automatically. This helps your email communications match how your membership program is structured.

What member data syncs from Join It to Mailchimp?

Join It can sync key member data to Mailchimp, including email address, first name, last name, membership type, membership status, expiration date, address, birthday, and optional fields such as membership ID and joined date.

Expand Answer

The synced member data appears in Mailchimp as fields that can be used for segmentation and targeting. This means you can build Mailchimp audiences or segments around useful membership details, such as active status, membership type, or expiration date. Instead of treating every subscriber the same, your email marketing can reflect where each person sits in their membership journey.

Can Join It sync custom fields to Mailchimp?

Yes. Join It can sync your organization's custom fields to Mailchimp as merge fields, giving you more flexibility to segment and personalize member communications.

Expand Answer

Custom fields are useful when your organization tracks details beyond basic contact information. You might collect chapter, region, role, interests, certification, membership category, or other member-specific information. When those fields sync to Mailchimp, you can use them to create more targeted segments and more relevant email campaigns without rebuilding lists manually.

Will membership updates sync to Mailchimp after the first sync?

Yes. When membership information changes in Join It, updates such as membership status, membership type, expiration date, and other synced fields can flow through to Mailchimp.

Expand Answer

Membership data changes over time as people join, renew, lapse, upgrade, or update their information. The Mailchimp integration helps keep those changes reflected in your email marketing data, so your campaigns are based on current membership information rather than an outdated export. One important detail: Mailchimp uses email address as the unique identifier, so email address changes may need separate handling inside Mailchimp.

Can I create Mailchimp segments based on membership type or status?

Yes. Because Join It syncs membership details to Mailchimp, you can create segments based on fields like membership type, membership status, expiration date, and synced custom fields.

Expand Answer

Segmentation is where the Mailchimp integration becomes especially valuable. You can send different messages to active members, expiring members, lapsed members, premium members, student members, sponsors, donors, or any group defined by the data you sync from Join It. For example, a segment where the synced Membership Status field equals Active gives you a permanently current active-members audience — you build it once and it maintains itself as memberships change. This helps your organization send more relevant campaigns without the export-and-rebuild cycle.
